Guest Experience & Systems Coordinator
(Specialized Welcome Team Role)
What It Is
This role focuses on improving Fertile Ground’s end-to-end guest experience—from registration through check-in, donations, and post-event follow-up—while also serving as an active member of the Welcome Team on Salon nights. The Coordinator works across digital systems and on-site realities to reduce friction, improve clarity, and help the Salon feel seamless and welcoming.
What You’ll Do
Guest experience & systems improvement activities:
Review and map the end-to-end guest journey (promotions → registration → arrival → donation → follow-up)
Identify friction points, drop-offs, or confusing steps
Recommend and implement practical improvements that make the experience smoother and clearer
Review event registration pages and related website content for usability and clarity
Suggest and implement website augmentations or refinements (content, layout, form flow)
Review CRM touchpoints (forms, check-in, data capture, follow-up) and improve data quality
Help align CRM workflows with how the Salon actually operates on-site
Document current workflows and suggest lightweight process improvements
Partner with the Welcome Team and Program Lead on guest experience decisions
As a specialized member of the Welcome Team (on-site) you may also do the following:
Welcome guests warmly and help set a relaxed, affirming tone
Check in pre-registered guests and register walk-ins
Gather missing contact info (email, cell, and consent)
Help orient guests and support the flow of the room
Assist with breaking down the check-in area at the close of the discussion
Tools You’ll Use
Website platform (e.g., Wix or equivalent)
Neon CRM and event management tools
Tablet or laptop–based check-in workflows
Time Ask
Initial phase (first 1–2 months):
2-3 hours/week
(systems, web, and process improvement work)
Plus 3 hours per month Salon as part of the Welcome Team
Steady-state phase (after stabilization):
~1 hour per week for ongoing improvements and issue remediation
Plus 3 hours per month Salon on-site with the Welcome Team

Comfort working with websites, forms, and CRM interfaces
Ability to connect technical systems with real human behavior
