Salon Operations Coordinator

A Salon Business Team Role


What It Is

This role manages guest data, communications lists, and donation records so the Salon Business Team can focus on programming, promotion, and fundraising. The Coordinator ensures the CRM stays accurate, current, and usable.


What You’ll Do

Pre-Salon

Before each salon, coordinate with the Salon Business Team to:


  • Build promotional email and text distribution lists in the CRM software platform

  • Apply filters, tags, and basic Boolean logic to segment guests

  • Validate lists for completeness and accuracy

  • Send bulk emails and texts using approved copy

  • Generate and share pre-Salon reports

    (e.g., guest check-in lists) with the Business Team and volunteers


Post-Salon

After each salon, coordinate with the Salon Business Team to:


  • Update guest records with new or corrected information

  • Enter and match paper check-ins to existing records

  • Create new guest records when needed

  • Identify and resolve duplicate accounts

  • Verify contact details and confirmation preferences

  • Record and reconcile donations from the website/CRM and Zelle (using bank records provided)

  • Attribute donations to the correct guest and event

  • Generate and share post-Salon reports (attendance, new guests, donation totals)


Ongoing

Ongoing, between salons, you will:


  • Keep guest records accurate and up to date

  • Fix missing, incorrect, or inconsistent data

  • Keep email and text lists clean and confirmed by the member

  • Run routine CRM reports as needed

  • Flag system or process issues

  • Suggest simple improvements to how the CRM is used 


Tools You’ll Use

  • CRM software application

  • Website event registration tools

  • CRM bulk email and text messaging modules

  • Spreadsheet or report exports as needed

  • Tablet or laptop for on-site and follow-up work


Time Ask

  • Weekly:  2–3 hours per week

  • Around each Salon: Additional time for pre- and post-Salon work

  • On-site (optional): May assist with check-in or coordination if helpful


What you bring

  • Comfort working in CRM systems and managing data

  • Ability to build lists, apply filters, and run reports

  • Attention to detail and follow-through

  • Comfort handling guest and donation data responsibly

  • Clear communication with the Salon Business Team
